  • FOUR WAYS TO BACK UP YOUR DOCUMENTS

Every once in a while we are caught up with so many things that papers and folders just seem to fly out of the window. Today you remember where you placed it, the next thing, you are already scrambling and hoping that your memory won't forsake you. The sad part is, what if it's the only copy available? That sure is something that can blow your top off and leave you in doom. But of course, there is a better and brighter side to that scenario. I guess that is where prudence comes into play. For computer savvy type of people this is not something new. It's called back up.

It's fairly easy to back up your documents in this age of technology. Four things that you can do: first is to have it photocopied for your additional hard copy. Actually this is one of the most popular way of securing a back up. One good thing to remember though, make sure that when you photocopy your documents, the copy should be clear enough to be seen and free from ink smudges. It would be futile photocopying a document if it's not readable, disfigured, or distorted.

Second, scan the document and save it on your hard drive. Allocate a certain portion of your drive to contain all the files and documents you need. This will avoid confusion and cluttering. And to make it more secure, creating a password can also be done if it contains sensitive information. But make sure that you memorized the password. You may also consider getting a flash drive or a portable hard drive. You can purchase a 16gb flash for a little over Php2000 or $40. It's a good investment.

Third, you can actually have it burned on a disc as another additional back up option if your computer has CD/DVD writer. I actually prefer backing it up on a disc and not on your pc itself because of the fact that pc memories can be vulnerable and prone to corruption or virus infiltrations. It may cost you a few for the disc but it's worth it.

The fourth and last is one of the pervading norms today and what I'm currently using to share documents. Uploading to a file hosting site. This can ensure that whenever you need it, wherever you need it, you can just go over the internet and download it for printing. This is a very good option if you travel a lot and your files need to be with you all the time but doesn't want to pay extra for a flash drive or portable hard drive. One thing that needs to be evaluated is the credibility and reliability of your file hosting site. There are a good number of free file hosting sites so make sure to read some reviews about the site before signing up. And please, read the fine prints.
